Add Excel Workbook

Use this dialog to add Excel workbooks to your report. Alternatively you can use the live insert to add workbooks to a presentation.

Adding new Excel workbooks

New Excel workbooks can either be added by using the live insert feature of smartRush or by using the dialog to add new Excel workbooks. To use the dialog click the Manage files button in the ribbon to display the smartRush taskpane on the Manage files tab. Alternatively you can navigate to the tab manually.

Click the Add file button in the smartRush taskbar or use the Add file button in the dropdown menu of the Manage files button in the smartRush ribbon to open the dialog shown below.

Add Excel Workbook

The dialog is divided into two sections and distincts between opened and closed Excel files. Please note that files are not added to the report until the dialog is closed using the Add selected files button.

Adding opened files:
  • The top section shows all currently opened Excel workbooks in any Excel instance.
  • To add one or more of those workbooks to your report simple tick the check box on the left side of the workbook.
  • If a password is required use the Edit password button below the list to enter the password.
  • If the password should be removed you can use the Remove password button.
  • If a previously ticked file should not be added when closing the dialog simply remove the tick before closing the dialog.
  • Clicking the Refesh open files button reloads the list containing the open Excel workbooks.adding
  • Adding files this way also works for files stored on a Microsoft 365 Sharepoint Online server

Adding closed files:

  • The bottom section is used to add Excel workbooks that are currently not opened
  • If you want to add a file from your local harddisk or a network path click the Select closed file button to open the file selection dialog.
  • Navigate to and select the file you want to add and close the file selection dialog.
  • The file is added to the list above.
  • If you want to remove a previously added file select the file in the list and hit the Remove closed file button.
  • If a password is required use the Edit password button below the list to enter the password.
  • If the password should be removed you can use the Remove password button.
  • If you want to add a closed file stored on a Microsoft 365 Sharepoint Online server you have to follow the steps outlined below.

Adding closed files from an Microsoft 365 Sharepoint Online server:

smartRush provides an interface to connect to your Microsoft 365 Sharepoint online server and add closed files from there. To add files from a Microsoft 365 Sharepoint online server hit the Office 365 Sharepoint button in the closed file section. This will open the following dialog:

Manage Microsoft 365 Sharepoint Online servers

This dialog is used to manage Microsoft 365 Sharepoint online connections. In the top section all currently active Microsoft 365 Sharepoint online servers and the respective usernames are shown. The bottom list shows all sites on the currently selected Sharepoint server in the top list.

To add a new Microsoft 365 Sharepoint online server hit the Add server button which will open the following dialog:

This dialog is used to add new Microsoft 365 Sharepoint online servers to smartRush. The following inputs are available in this dialog:

  • Server: Enter the server address of the Microsoft 365 Sharepoint online server in this text box. The server address usually has the following structure: https://<tenant name>.sharepoint.com
  • Username: Enter your username in this textbox, usually your username should match your e-mail address
  • Password: Enter the password in this textbox. Usually the password should match your Microsoft password used for Windows and Office. Please note: Passwords are stored securely encrypted on your local hard drive using a locally generated encryption key. smartRush GmbH & Co. KG does not know your personal encryption code and is not able to decrypt your locally stored passwords.
  • Test connection to server: If this option is enabled the connection to the server is tested when the dialog is closed
  • Automatically load sites after the server was added: If this option is enabled the sites are automatically loaded from the newly added Sharepoint server after the dialog is closed

Hit the OK button to add the Sharepoint server to the list.

Once the server has been added to the list its sites are loaded and shown in the list on the bottom:

Credentials can be managed by selecting a server from the lsit and clicking the Enter credentials or Remove credentials buttons. Servers may be removed by using the Remove server button.

By clicking the Refresh websites from SharePoint button smartRush will clear all cached websites for the currently selected server and reload them. Please note that valid credentials have to be available for this operation.

The most right button of every site entry in the list ist the GoTo website button. Clicking this button will open the Sharepoint website in your browser.

To add an Excel file stored on the Sharepoint server simply click the Open file button next to the respective site. This will open the Select file dialog as shown below:

Navigate to the file you want to add and click the Open button to add the file. Usually files are stored within the Documents subfolder of your Sharepoint site.

Adding Sharepoint servers to the Trust Center

Please be aware that in order to use files from Microsoft 365 Sharepoint online servers the server may need to be added as Trusted Server in the PowerPoint Trust Center. This is depending on your security settings. Usually corporate Sharepoint servers are already added to the Trust Center by the IT department.

In some cases access to files stored on Sharepoint servers is not possible. If this is the case try to connect your Microsoft Office to the Sharepoint server using the Open file dialog of Microsoft Office.

Adding files from Microsoft OneDrive and Microsoft Teams

This feature also enables you to add files from Microsoft Teams or Microsoft OneDrive. Teams sites should be available just like Sharepoint sites in the list. Your personal OneDrive should also be available in the list and can usually be identified by showing your name and a path that refers to *.mysharepoint.com.

The live insert feature is available for both, files from Teams channels and files from your personal OneDrive.

Support of other Sharepoint servers than Microsoft 365 Sharepoint Online

Currently smartRush only support Microsoft 365 Sharepoint Online servers and no dedicated On-Site Sharepoint servers. However, in some cases mapping the Sahrepoint server to a local directory may work. Please contact your IT department if you are using an On-Site Sharepoint server.
