Manage Excel Files

Use the Manage Excel Files tab of the smartRush taskbar to apply all file related tasks.

Best practice

The Manage Excel Files tab of the smartRush taskbar provides a more detailed view on connected files than using the live insert feature. Some file related operations are only available via the taskbar. The context menu on this tab provides the ability to selectively update, highlight or unlink smartRush items from specific files.

Manage Files Taskbar

To access the Manage Excel Files section of the smartRush taskbar select the according icon or click the Manage files button in the smartRush ribbon.

  • The list on the taskbar shows all currently connected files in the report. The icon on the left indicates if the file is currently open and accessible.
  • Hit the Add file button to open the Add Excel workbook dialog. This dialog is used to add new files to the report.
  • Hit the Change button to replace any currently connected Excel file with another file. This may be useful if the file should be replaced with a newer version of the same file. Hitting the button will open the Change file dialog.
  • Thre Refresh dropdown menu provides the following options:
    • Refresh single connection: This button will refresh the connection for the currently selected Excel file. Refreshing the connection means that the Excel file will be opened and all smartRush items will be synchronised with the items in the report. However, this operation does not perform an update of any inserted items.
    • Refresh all connections: This button does the same as refreshing a single connection, but for all currently connected Excel files.
    • Reload list without refreshing: This button will reload the file list without opening any Excel files or synchronizing any smartRush items.
  • Hit the Change password button to change open and write passwords for the currently selected Excel file. This button will open the change password dialog.
  • Hit the Remove file button to remove the currently selected file from the report

Context Menu

All buttons are also available in the context menu. Simply right click on any Excel file in the list to access the context menu. Any operations triggered from the context menu are only applied to the currently selected file. In addition to the buttons the following options are available in the context menu:

  • Open source file: Clicking this button will open the connected Excel file
  • Highlighting: Only smartRush items from the currently selected file are highlighted. smartRush items from other files will be ignored.
  • Remove highlighting: Removes the highlighting from smartRush items
  • Update: Only smartRush items from the currently selected file are updated. smartRush items from other files will be ignored.
  • Unlink: Only smartRush items from the currently selected file are unlinked. smartRush items from other files will be ignored.
